The Challenge
The firm processed over 2,000 invoices monthly for their 80+ clients. Each invoice was manually opened, read, and entered into the accounting system -- a process taking 8-12 minutes per invoice. Two full-time employees spent their entire day on data entry, errors crept in during busy periods, and month-end closings regularly pushed into overtime.
Our Approach
We built an AI-powered invoice extraction pipeline that reads invoices from email attachments and scanned PDFs. The system identifies vendor, line items, amounts, VAT rates, and payment terms with 97% accuracy. Extracted data is validated against client-specific rules and pushed directly into the accounting software. Flagged exceptions go to a human review queue with the AI's suggested corrections highlighted.
